Cancellation and Weather Policy

Overview

Asgard is a private, remote, helicopter-access-only accommodation.
All access to and from the property is dependent on weather conditions and safe flying operations.

By confirming a booking, guests acknowledge and accept that flexibility is required and that weather conditions may impact access to the property.
 


Weather-Dependant Access

Helicopter transfers to and from Asgard are subject to safe flying conditions, including but not limited to:
 

  • Visibility at the helipad

  • Low cloud, fog, or heavy rain

  • Wind conditions

  • Pilot and operator safety requirements
     

Asgard operates strictly in accordance with these conditions at all times.


If a Booking Cannot Proceed Due to Weather
 

If weather conditions prevent safe helicopter access and your stay cannot proceed:

Guests will be offered the choice of:
 

  • A full refund, or

  • Complimentary rescheduling to a future available date
     

All decisions regarding flight safety are made in consultation with the helicopter operator and are final.


Notice Period 
 

We monitor weather conditions closely and aim to provide as much notice as possible.

However, due to the nature of the region:
 

  • Weather conditions may change rapidly

  • Cancellations or postponements may occur within 72 hours, and in some cases 24–48 hours prior to arrival
     

By booking, guests acknowledge and accept the possibility of short-notice changes.


During Your Stay

If weather conditions change during your stay:

 

  • Departure times may be delayed or adjusted, or

  • Alternative departure arrangements may be required
     

Where helicopter access is temporarily unavailable, this may include transfer via a 4WD access track to a suitable departure point.

All arrangements will be coordinated with guest safety as the priority.


Guest-Initiated Cancellations
 

Cancellations made by guests (not related to weather preventing access) are subject to the following:
 

  • More than 14 days prior to arrival:
    Full refund (less any processing fees)
     

  • 7–14 days prior to arrival:
    50% refund
     

  • Less than 7 days prior to arrival:
    No refund
     

Where possible, guests may request a one-time reschedule in lieu of cancellation for bookings cancelled within 7 days.
 

Rescheduled stays must:
 

  • Be used within 6–12 months of the original booking date

  • Be subject to availability

  • Be of equal or greater value (any price difference payable)

     

Travel Planning and Responsibility

Guests are strongly advised to:

 

  • Allow flexibility in travel plans to and from Cairns and the surrounding region

  • Avoid tight onward travel connections

  • Consider travel insurance that covers weather-related disruptions and accommodation changes
     

Asgard is not responsible for:
 

  • Flights, transport, or accommodation booked separately

  • Costs incurred due to weather-related changes or cancellations


     

Force Majuere

Asgard is not liable for any failure or delay in performance due to events beyond reasonable control, including but not limited to:
 

  • Severe weather conditions

  • Natural events

  • Aviation restrictions

  • Government actions or travel restrictions
     

In such cases, the above cancellation terms will apply.

proceeding with a booking, guests confirm that they:
 

  • Understand Asgard is a weather-dependent, helicopter-access-only experience

  • Accept the possibility of delays, rescheduling, or cancellation due to weather

  • Agree to the terms outlined in this policy
